Kitomba alternatives for hair salons in Australia: the 2026 guide

Written by Published on Updated on 15 min read
An Australian hair salon owner at her front desk weighs up booking software options on a laptop while a stylist finishes a blow-dry behind her

Kitomba is about as established as salon software gets on this side of the world. Founded in Wellington in 2002, with teams across Australia, it has spent more than two decades serving hair salons in Australia and New Zealand, and its about page says thousands of salons, spas and clinics run on it, checked in October 2026. If your salon is one of them, you probably did not choose it by accident: it is a genuinely deep, salon-specific system. But if you are reading this, something is likely bothering you, whether it is a quote that crept up at renewal, paying for a full point-of-sale suite when you mostly need bookings, or simply not knowing what the software would cost you elsewhere because Kitomba never publishes a price.

This guide is published on the blog of ViteUneCoupe, a commission-free online booking system for hair salons with a real free plan, so we are not pretending to be a neutral referee. What we promise instead is discipline: every claim about Kitomba below was checked on kitomba.com itself in October 2026, every alternative's price was checked on the vendor's own site the same month, and we say plainly when a figure is not published or could not be confirmed in Australian dollars. We also say plainly where ViteUneCoupe is not a like-for-like replacement, because for some Kitomba salons it is not.

What Kitomba costs in Australia: you have to ask

Here is the first thing an Australian salon owner comparing options needs to know: Kitomba does not publish its prices. Checked on Kitomba's pricing page in October 2026, the page lists three packages, Lite PLUS, Grow PLUS and Pro PLUS, plus an unlimited-staff tier, but no dollar figure for any of them. Instead it invites you to "answer a few quick questions and get instant pricing tailored to your salon", or to book a demo where "a Kitomba Business Consultant will provide you with a quote tailored to your business's unique needs". The example packages are presented "based on 3 staff", so the quote scales with your team.

What the pricing page does disclose, as of the same check:

  • All three packages include online booking, point-of-sale with integrated EFTPOS, stock management, automatic appointment reminders, client cards and history, digital consultation forms, and unlimited phone, email and chat support.
  • Complimentary SMS is a promotion: the page's fine print says "complimentary SMS is based on the number of users and is a promotion for a limited time". It is not a permanent plan feature, so ask what texts cost once the promotion ends before you sign.
  • Several things cost extra: data migration, live education sessions, the REACH.ai marketing add-on, and Xero's own subscription for the accounting integration.
  • Kitomba Pay is the one place Kitomba publishes Australian dollar figures: checked on the Kitomba Pay page in October 2026, in-person payments cost 1.7% per transaction including GST, online payments 2.5% + 30 cents, Afterpay 6%, international cards 2.9%, with terminal rental from $32.95 AUD per month. Using Kitomba Pay earns "20% off your software fees every month".

So the honest summary is: the payments side is transparent, the software side is quote-only. That is not a scandal, plenty of full-suite vendors work this way, but it has a practical consequence: you cannot compare Kitomba's price against anything without going through its sales process, and you cannot check whether the quote you got three years ago still matches what a new salon pays today.

Read the terms before you sign: the cancellation clause

Kitomba's published terms and conditions, checked in October 2026, contain a clause every owner should read before signing a quote. If the client cancels the contract, the client "shall be liable for any loss incurred by the Seller including, but not limited to, all fees due for the remainder of the period of the contract". In plain language: if your quote is tied to a contract period and you leave early, you can be charged the rest of the term. The terms do not state a standard minimum term, which means the term is whatever your individual agreement says, so ask for the contract length and exit terms in writing, and keep the document.

Two more details from the same terms worth knowing: SMS is subject to a fair-use policy (the "Unlimited Plus" plan is defined as 10,000 messages per calendar month, with charges or suspension beyond the limits), and the terms place the responsibility for retaining copies of your information on you, the client. We did not find a data-export guarantee in the terms themselves; a client-list CSV export exists in the product according to third-party migration guides, but Kitomba's own help pages on the subject were not reachable from our tools in October 2026, so test the export from your own account before you give notice, not after.

Interestingly, Kitomba's own marketing for Kitomba Pay takes a swing at lock-ins: "Stay because you love it. Not because you're stuck for 36 months." Apply the same standard to the software quote you are offered.

What Kitomba genuinely does well

Fairness first, because many Australian salons are on Kitomba for good reasons:

  • Salon-specific depth. Appointments, POS with EFTPOS, stock, staff targets, timesheets, loyalty, consultation forms: this is a complete salon management suite built for hair and beauty, not a generic booking tool.
  • Benchmark. Kitomba's Benchmark reporting compares your numbers, rebooking rate, retail attachment, revenue, against anonymised industry averages for your country. No small competitor offers anything like it, and for a data-minded owner it is a real reason to stay.
  • Unlimited support, included. Phone, email and chat support at no extra cost is a trans-Tasman rarity, and Kitomba leans on it hard in its positioning.
  • Local understanding. A Wellington company with Australian teams understands GST, EFTPOS and the Australian salon market in a way a Silicon Valley product does not.

If you run a multi-staff salon that uses the POS, the stock module, the targets and Benchmark every week, Kitomba is probably earning its quote. The rest of this guide is for everyone else.

When an Australian salon outgrows Kitomba, or over-pays for it

The pattern we see is less "Kitomba got worse" and more "the salon's needs got simpler than the suite". Three situations where the quote stops making sense:

  • You pay for a suite and use a diary. If your stylists book, remind and rebook, but the stock module sits empty and your payments already run through a separate EFTPOS machine or Square terminal, you are paying full-suite money for booking-tool usage. Our guide to the real cost of salon software in Australia walks through how to total what you actually use.
  • You cannot price-check it. With no published grid, the only way to know whether your renewal is fair is to request a fresh quote as if you were new, or to compare against vendors who do publish. Quote-based pricing favours the party that sees every quote, and that is not you.
  • The exit maths scares you. A contract clause that makes you liable for the remainder of the term turns "we should look around" into "next year, maybe". That is precisely when it is worth knowing that several credible alternatives are month-to-month.

The alternatives, prices checked in October 2026

Every figure below was verified on the vendor's own website in October 2026. Several vendors geo-localise their pricing pages, and our tools browse from outside Australia; where we could not confirm an Australian-dollar figure we say so rather than guessing. Confirm on the pricing page, from an Australian connection, before signing anything. For the full market tour, our comparison of hair salon booking software in Australia covers the whole field.

Software Published price Reminders POS / payments Pricing transparency
Kitomba Not published, quote only SMS (promotional allowance, fair-use limits) + email Full POS, Kitomba Pay 1.7% in person (AUD) Quote-based
ViteUneCoupe Free plan; Standard at 29 € excl. tax/month, billed in euros Email only (Standard plan); no SMS None Published
Square Appointments Free; Plus A$40/month; Premium A$90/month per location Text and email on the free plan Square payments, 1.6% in person Published in AUD
Timely (Dunedin, NZ) Per bookable staff member; page geo-localises, its structured data lists an Australian starting price of A$42/month SMS allowance per plan + email Via TimelyPay Published, but confirm AUD grid locally
Fresha Shown to us in euros: €14.95 solo or €9.95 per team member/month; no AUD grid confirmed 20 free messages/month, then metered Integrated payments Published, geo-localised
Simple Salon (Melbourne) Shown to us in US dollars: Starter $20, Pro $34, Max $41/month, scaling by operators, capped at 7 SMS allowance on Pro/Max, then metered Integrations Published, currency selector
Shortcuts (Brisbane) Not published, demo only SMS available Full POS + ShortcutsPay Quote-based
Phorest Not published, quote only; SMS at 8.5c to 12c each on the AU page SMS + email Integrated payments Quote-based

Three of Kitomba's most obvious rivals, Shortcuts, Phorest and Kitomba itself, all price by quote. If opaque pricing is your complaint, switching between them solves nothing. The details that matter, starting with our own tool so you know where we stand.

ViteUneCoupe: free bookings, zero commission, and honest about what it is not

Let us be explicit about the comparison first: ViteUneCoupe is not a like-for-like Kitomba replacement. Kitomba is a full salon management suite; ViteUneCoupe is a booking system. There is no point-of-sale, no EFTPOS or PayID, no stock management, no payroll or rostering, no deposits, and no SMS: reminders are email only. If your salon leans on Kitomba's POS and stock every day, ViteUneCoupe alone will not run your front desk.

What it does, it does at a price Kitomba cannot match: the free plan gives you unlimited online bookings with 0% commission, permanently, a booking page under your salon's own name, your service menu with photos, individual stylist schedules, a client database and your calendar. No card, no trial clock, no per-staff seat fee, ever. The Standard plan, at 29 € excluding tax per month with no commitment, adds automatic emails (confirmation, reminder, thank-you) and ICS calendar sync with Apple, Google or Outlook calendars. Card-on-file no-show protection is coming soon in a Standard + Anti No-Show plan at 49 € excluding tax per month.

One more honest limit for Australian readers: the paid plans are billed in euros, so the amount on your card statement moves with the exchange rate and your bank may add a foreign transaction fee. The free plan, of course, is billed in nothing. Who is it for? The salon or independent stylist whose diary is the expensive problem, whose payments already work fine on an existing terminal, and who wants the booking side to cost zero dollars and zero commission while keeping every published price in plain sight.

Square Appointments: published AUD prices and a real free plan

Checked on Square's Australian pricing page in October 2026: a free plan for a single location that includes text and email reminder notifications, then Plus at A$40 and Premium at A$90 per month per location, with no long-term commitments. Card processing runs at 1.6% in person and 2.2% online. For a Kitomba salon, Square is the closest thing to a transparent full-stack answer: bookings, payments and a free tier with texting, all priced publicly in Australian dollars. The trade-off is that it serves every appointment industry, so you lose the salon-specific depth, the consultation forms, the targets and anything like Benchmark. Our guide to Square Appointments alternatives for Australian hair salons examines it from the other direction.

Timely: the other New Zealander, with prices you can read

Timely, built in Dunedin, is the natural head-to-head: trans-Tasman roots, hair-and-beauty focus, and, unlike Kitomba, published per-staff pricing. Its pricing page geo-localises, so from our connection it displayed US dollars, but the page's own structured data lists an Australian starting price of A$42 per month, checked in October 2026 on gettimely.com; each plan is charged per bookable team member and includes a monthly SMS allowance. Confirm the full Australian grid from an Australian connection. Timely gives you most of what day-to-day Kitomba usage looks like, calendar, clients, reminders, payments, without the quote process; what it lacks is Kitomba's full POS-and-stock depth and Benchmark. We compare it properly in our guide to Timely alternatives for Australian hair salons.

Fresha: the marketplace model, priced in a currency we could not pin down

Fresha runs the other model entirely: a consumer marketplace plus a per-team-member subscription. Checked on fresha.com's pricing page in October 2026, the subscription was shown to us at €14.95 per month solo or €9.95 per team member, with 20 free client messages a month then metered texting, integrated payments, and no minimum commitment; the page states no fees on new or returning marketplace clients. We could not confirm an Australian-dollar grid from our connection, so check what currency an Australian salon is billed in before signing. The full breakdown is in our guide to Fresha alternatives for Australian hair salons.

Simple Salon: the Melbourne-built mid-point

Simple Salon has been built in Melbourne since 2005 and sits closer to Kitomba's shape than most booking tools: appointments, clients, SMS marketing, reporting. Checked on simplesalon.com's pricing page in October 2026, the page showed us US dollars (Starter $20, Pro $34, Max $41 per month, scaling with operator count and capped at the seven-operator price) with a currency selector, SMS allowances on Pro and Max then metered messages, a 14-day trial and "no contracts, no fixed-term, no sign-up fees". Confirm the Australian-dollar figures from a local connection. Who is it for? The salon that wants an Australian vendor with published month-to-month pricing and texting, without a full POS commitment.

Shortcuts and Phorest: the other quote-based suites

If what you want is Kitomba's full-suite shape from a different vendor, the two obvious candidates share its pricing habit. Shortcuts, headquartered in Brisbane and checked on shortcutssoftware.com in October 2026, publishes no prices and sells by demo; our guide to Shortcuts alternatives for Australian hair salons covers it in depth. Phorest publishes an Australian page with SMS rates (8.5c to 12c per message depending on plan, checked on phorest.com/au/pricing in October 2026) but no subscription figures: every plan ends in "request a quote". Both are serious products; neither solves the transparency problem that may have brought you here.

Which profile suits which tool?

  • You use the POS, stock, targets and Benchmark weekly: stay on Kitomba, but request a fresh quote at renewal as if you were a new salon, and get your contract term and exit clause in writing.
  • You want the full stack with published AUD prices: Square Appointments, accepting that it is not salon-specific.
  • You want trans-Tasman salon software without the quote process: Timely, or Melbourne-built Simple Salon, confirming the AUD grid locally in both cases.
  • You want the marketplace to bring new faces: Fresha, after confirming your billing currency.
  • Your diary is the problem and your payments already work: ViteUneCoupe's free plan, 0% commission permanently, running alongside whatever terminal you already own, with email reminders on the Standard plan when you want them.

Before you leave Kitomba: export first, give notice last

The order of operations matters more than the destination. First, re-read your agreement and find the contract period and the cancellation clause, because Kitomba's published terms make an early-leaving client liable for the remaining fees of the term. Second, export your client list while your account is fully active, and check what came out: third-party migration guides describe a client CSV export, but note that appointment history may not travel with it, so screenshot or report out anything you cannot export. Third, run the new system alongside Kitomba for a couple of weeks and repoint your booking links on Google and Instagram before anything is cancelled. The full playbook is in our guide to switching salon booking software without losing clients.

Frequently asked questions

How much does Kitomba cost in Australia?

Kitomba does not publish software prices. Its pricing page, checked in October 2026, lists three packages (Lite PLUS, Grow PLUS, Pro PLUS) with example features "based on 3 staff" and directs you to request a tailored quote. The only published Australian-dollar figures are for Kitomba Pay: 1.7% per in-person transaction including GST and terminal rental from $32.95 AUD per month.

Does Kitomba lock you into a contract?

Its published terms do not state a standard minimum term, but they do say a cancelling client is liable for "all fees due for the remainder of the period of the contract". In practice, the term is whatever your individual quote and agreement say, so get the contract length and exit terms in writing before signing, and dig out your existing agreement before planning a switch.

What is the closest like-for-like replacement for Kitomba in Australia?

For the full suite shape (POS, stock, salon-specific depth), Shortcuts and Phorest are the closest matches, though both also price by quote. Square Appointments offers bookings plus payments with published Australian prices. Booking-first tools like Timely, Simple Salon or ViteUneCoupe replace the diary side well but not the point-of-sale, so be clear about which parts of Kitomba you actually use before calling anything a replacement.

Is there a free alternative to Kitomba for hair salons?

Two credible free starting points exist, with different trade-offs. Square Appointments' free plan includes text and email reminders and Square's payment processing at published Australian rates. ViteUneCoupe's free plan offers unlimited online bookings with 0% commission permanently and no per-staff fee, but reminders are email only on its paid plan and there is no POS. Neither replicates Kitomba's full management suite.

Can I export my client data from Kitomba?

Third-party migration guides describe a client-list CSV export from the Clients screen, though appointment history is not included in it, and Kitomba's terms place the responsibility for retaining copies of your information on you. Test the export from your own account while it is still active, well before you give notice, and keep a copy of everything you may need.
